Overview

The Miami, FL office of Lewis Brisbois is seeking a Practice Group Assistant/Client Intake Specialist with legal experience. The Practice Group Assistant/Client Intake Specialist is responsible for handling the intake process by organizing and tracking new client data and processing new matter memos. This is a role that services the firm on a national scale. Essential functions of this role include but are not limited to conducting conflict checks on new clients for Attorney’s in local office, receiving and organizing case documents and correspondence required for new matter process, assist with calendaring and docketing tasks, save filings into iManage, and opening new matters. For litigation-related clients, the Specialist prepares litigation hold letters for attorney approval and processes new matter memos into the Aderant software application. The role also involves verifying correct rates for clients by review of matter description and practice areas. If new client, reviewing of documentation as to new rates to be entered and enter new rates into system, reviewing and confirming client billing addresses, contact information and adjuster contact information, if applicable, and assigning new client matter numbers and upload new matter memo and respective documents to iManage. Hybrid work is available after the first thirty (30) days of employment, with a weekly structure of three days in the office and two remote.

Responsibilities

Job Qualifications/Specifications:

  • Experience with LawTime, Aderant, or equivalent accounting software is preferred
  • Minimum of one (1) to two (2) years experience in a legal/law firm environment
  • Attention to detail, along with the ability to multi-task
  • Proactive work ethic
  • Excellent communication and organizational skills
  • Strong problem solving skills, takes initiative and uses good judgment
  • Ability to adapt based on shifting priorities
  • Proficient using Microsoft office applications
  • Ability to be a self-starter and work with minimal supervision
