Overview

The Tampa, FL office of Lewis Brisbois is seeking a subpoena specialist with legal experience. The primary responsibilities of this position include handling the office’s subpoena requests and related follow-up. Track appropriate billable time in billing system. Support the needs of the litigation department in non-billable work, working closely with paralegals on assignments. There is heavy phone usage, intra-office contact with attorneys, paralegals and secretaries, as well as outside communication with vendors and individual subpoena locations.

ESSENTIAL FUNCTIONS OF THE JOB:

The following list of essential functions is not exhaustive and other duties may be assigned in addition to those listed. The items listed are considered daily functions associated with this position. 

  • Receive subpoena requests from our firm's attorneys; translate their requests into an order format that is submitted to subpoena vendors.
  • Follow up with the vendors to see that the order is proceeding correctly and timely, and check in the documents when they arrive at the office.
  • Ensure that affidavits from the Custodians of Records are in place in the copied documents, so that the subpoenaed records may ultimately be used in court.
  • Track appropriate billable time in tenths of an hour increments.
  • Support the needs of the litigation department in non-billable work, working closely with paralegals on assignments.
  • Operate office equipment as needed
  • Perform other related duties as assigned
  • Complete two online tutorial training classes per month. These classes are provided by the firm and are required.
  • Employee must perform all duties with minimal supervision 
  • Reliable, consistent attendance in the office is required

Responsibilities

KNOWLEDGE, SKILLS AND ABILITIES:

  • Bachelor’s degree or equivalent experience required
  • Minimum one (1) year experience in a comparable position in a law firm or with a subpoena service or enrolled for at least one quarter/semester in a paralegal certificate program
  • Knowledge and comprehension of the timing of Rules of Civil Procedure which regulates civil subpoenas of business records
  • Highly competent oral and written communication skills
  • Analytical and research investigation skills
  • Highly organized, detail-oriented and self-motivated
  • Ability to work with minimal supervision
  • Ability to multi-task and maintain organization in a fast-paced, changing environment
  • High attention to detail
